With all the focus on different embeddable services, we've never talked about embedding files in your digital workplace into other locations! Files uploaded to your Igloo can be embedded in articles, forum topics, comments and HTML Content widgets, making it easy to create exactly the view you need anywhere in your digital workplace. 

The use cases for embedding within your Igloo are legion. Using the embed codes attached to uploaded files, you can showcase videos on your front page or in announcements, embed images, and even share slide decks. Some clients embed the agenda and minutes of their meetings, ensuring that anyone who navigates to the Calendar Event can see exactly what happened, but while letting them store their files in the appropriate folders. 

Embedding Files

Files like Word documents, .pdfs, and videos will all have an embed option in the lower left corner of the file preview. Copying that embed code will let you embed them anywhere in your digital workplace where you can access the code view, like blog articles, calendar events or HTML Content widgets. 

The embed uses an iframe that will fetch the document preview interface as well as the document itself, letting you navigate, zoom, and more from the page where you've applied it. It targets the id of the item rather than the specific file location, so if you reorganize your Folder Channels, your document embeds will still work as expected, because the id is persistent, where the location might not be. 

Storing Files

One of the key advantages of using the embed codes is that you can keep your files organized in folders, but still have easy access to the in announcements or project spaces. The documents are displayed directly, rather than requiring members follow links away from your content as well. 

It's worth noting that Access and auditing on those items are respected wherever the file is embedded. If someone has access to a blog post, but doesn't have access to the embedded document, the document won't appear. Views on an embedded document are tracked in the Activity trail of an item, as well as in your digital workplace's Data Feeds, so you'll have up to date analytics regardless of whether members access the file through an embed, or on the file preview directly. 

Updating files

Embedded files are connected to the document previews in the Folder Channels, and are updated whenever those documents are. No matter where items are embedded, they'll always display the current version, so if there's a typo on page 3 after the announcement goes out, a quick update will fix it everywhere. This includes updates to the files made through the Desktop Client as well as through the version control interface. 

Use embedded files to showcase the work you're doing to other teams, share out policies and slide decks, and improve engagement with your files by integrating them seamlessly into your other content.
