As winter turns to spring, organizations confirm their budgets and plans for growth. Spring is typically when we receive most questions about the limits of a digital workplace. What are they, how to know when you've reached them, and how to increase them. Whether through steady or abrupt growth, every Igloo eventually needs more room.
Acquiring more room for members, Spaces, or storage is as easy as reaching out to your Customer Success representative here at Igloo, who can help you increase those limits, and also offer a lot of ways to check on the health and engagement of your digital workplace. They're experts on ensuring that your Igloo is helping address your business challenges.
With expansion and acquisition, new Spaces for projects and teams can be at a premium, and many Igloos will hold on to Spaces after a project's conclusion, for archival purposes. When your digital workplace reaches the maximum number of Spaces allotted, the option to create new Spaces will automatically be removed from both the + button in the user Bar, as well as the Add option in the Site Manager. Deleting an existing Space will automatically free up room in your allotment, and let your Administrators create a new one.
You can view the number of remaining member licenses in your digital workplace in a few places in the Control Panel, namely the Manage Invitations tab and the Add Member area of the Manage Members tab. Sending out an invitation reserves one of those licenses for that member, so there's never a chance that someone accepts but can't get in. When the license limit is reached, you'll no longer be able to add additional members until its increased. As with Spaces, revoking a member immediately frees up a license.
An ordinary digital workplace has a ten gigabyte storage limit, which includes all of the files, as well as all content and architecture. Administrators can view the limit in the Trash Can tab of the Control Panel, as well as the Community Details tab. The storage gauge will show how much space remains overall. In the event that your storage is full, which happens less frequently than membership or Spaces, no additional content can be added to your digital workplace. At all. No files, Channels, or articles. Not even a comment. In cases like this, it's best to monitor your storage limit, and reach out to Customer Success when it's close to the end.
It's worthwhile to check on your digital workplace's limits yearly, to ensure that it's prepared to handle your overall growth year to year.
