Questions about subscriptions and member management are always pretty common in the new year, as people begin onboarding or change roles. Not worry though, our support team has answers aplenty, and here are some highlights from this month.
People can't be individually subscribed or unsubscribed from anything in a digital workplace by someone else. In Igloo, you are the final authority on what goes to your inbox. People can follow things individually, and Administrators and Space Administrators can subscribe Groups to items, but unsubscribing from Group subscriptions is handled on a person by person basis. To unsubscribe from a particular Group subscription, select the Subscriptions option in the dropdown in the userbar, search for the Subscription, and select "Unfollow".
As of Cycle 62, our December 2020 release, yes. The Change email option is available from the action button next to any member's entry in the Manage Members area of the Control Panel. Email addresses are the key to member identity in your digital workplace, so they're constrained by uniqueness, but this lets you easily change ownership of accounts, or deprecate existing emails to free them up.
Remember, revoked members of your digital workplace are still retained, so they can be reinstated and attached to their activities and auditing appropriately. If you've revoked a member and need their email address, you can reinstate them at any time using the Add Member function, and change or deprecate their email address as needed.
This is a question that typically comes up with pricing guides, catalogs, analytics, or other services that produce timely but similar reports. You can email those reports into a Channel in Igloo, typically a Blog Channel for text reports or a Folder Channel for files. The question that was posed is how to add versions to a single file in a Folder Channel using that kind of automatic process, so when people navigate there to find today's pricing guide, they don't have a huge list of them waiting for them. But adding version through email isn't currently supported by the platform.
Fortunately, there's another way. Continue emailing in content to that Folder Channel and creating new files, and create a Folder Contents widget (Or a Blog Articles Widget for text reports) on a Page or Space. Limit the results returned to one, organize the Folder Channel by date published, and you now have a widget that will always show the latest results from that Channel, making it easy to access the most up to date report from anywhere in your digital workplace. Members won't need to visit the Channel, because you can bring what they need there right to the areas where they work. As an added bonus, it also provides easy access to and analytics on each of those guides historically, letting you measure the engagement on specific reports.
