Ensuring your users receive email notifications (BP)
Email notifications sent from your digital workplace serve an important role in keeping your users up to date with content and conversations relevant to their work. Subscriptions, broadcasts, , are the primary generators of email notifications sent from your digital workplace’s configured email domain. Since this email is coming from a server external to your organization’s mail server, the server or your email client may reject the email or mark it as junk. There are some actions you can take to ensure email notifications are reaching users, avoiding any bounce backs or emails being sent to junk folders.
Here are a couple of tips to ensure users receive email notifications from your digital workplace:
- Whitelist the Igloo mail server IP address and SPF record: Igloo’s mail server information depends on what Azure environment your workplace is located in (contact Igloo Support if you are unsure of which environment your workplace is in). Avoid email notifications being blocked by whitelisting Igloo’s server information via your email settings. Contact your internal IT administrator about applying this information to your organization's mail servers.
- Add your workplace's email domain to your email client's "Safe Senders" list: While workplace members can do this individually with Microsoft Outlook (Home > Junk > Junk Email Options), consider having your IT administrator apply this across your organization as a Group Policy or with an Azure PowerShell applet. Not doing this may result in emails being sent to a junk mail folder, or images within email notifications not being displayed (impacting the accurate collection of analytics on who has previewed the notification). Note: Some email providers may use a different term than "Safe Senders", such as G Suite which refers to it as "Approved Senders".
