In part one of our three-part series, we explored the importance of the Digital Workplace Manager. But what is it really like to take action as a Digital Workplace Manager in the field? 

Tammy Triplett‍ of Leidos, a Fortune 500® information technology, engineering, science solutions, and services leader, knows what it means to bring together employees in a single destination that helps them communicate, collaborate, and innovate. As the Digital Workplace Manager of Prism, Leidos' digital workplace, Tammy is responsible for the entire front-end of the organization's digital workplace,  including strategy, design, information architecture, permissions, best practices, analytics, and user enablement. Supporting 33,000 worldwide users in a variety of ways, including one-on-one, help articles, forum channels, formal ticket system, feedback, and a Champions network, her role is critical in bringing together employees that work to solve the world's toughest challenges in the defense, intelligence, homeland security, civil, and health markets. 

Since launching Prism in 2013, Tammy and her Digital Workplace Team have accomplished a lot. Read on to learn about her top three digital transformation successes. 

Tammy's story

Making Prism a success has been a team effort. Our Digital Workplace Team members come from Communications, Web Solutions, Operations, Support, Development, and are all supported by two key Executive Sponsors, our CIO, Steve Hull and our Senior VP, Director of Communications and Marketing, Melissa Koskovich. 

Why do you need a team with a wide range of expertise?

Prism has 33,000 worldwide users and includes a 730-page structure with no less than 350-page administrators. Collaboration and communication are key to the success of our digital workplace. Different skills provide support to my role as Digital Workplace Manager, such as: 

• Rob Spellman‍,  Web Solutions Services Director: Leads the Chief Information Office (CIO) Prism team to maintain content integrity,  provide general user support and training, and guide complex access management. Rob also handles issue resolution that involves end-users, CIO Services staff, and vendor coordination.
• Chris Pharo‍ , Internal Communications Director: Leads the internal communications team and provides valuable insight into enterprise strategy and goals to ensure the Prism strategy is in alignment. All members of the internal communications team are Prism administrators and instrumental in user enablement, page administrator support, and development and application of our best practices across the environment.
• Stephen Siegel‍,Home Page Content Curator: Helps others within the communications team and around the company to get their articles and events promoted on the home page. Stever also seeks out articles that might be of interest to the greater employee population but might not otherwise be seen, and makes sure fresh content is regularly posted on the home page, old content is removed, and all links are working to enable employees to stay informed about the company and do their jobs effectively.
• Tim Livings‍, Champions Program Manager: Fosters digital workplace collaboration across the enterprise by educating and enabling Prism Champions with the skills needed to help our employees create an engaging user experience.

Our successes and how they impact our organization

1. Communities of Practice

When we launched the pilot version of the platform, some of our Communities of Practice immediately saw the benefit of using a digital workplace. Collaboration Communities are much more effective than an email distribution list. Due to their enthusiasm, we developed and provided a standard practice for how to stand up and run a Community of Practice in Prism. 

Over the years, our Communities of Practice have grown to more than 100 actively operating on Prism!

How did this help employees? 

• Breaks down organizational barriers and silos to help employees with a shared interest find, connect, network and collaborate with each other.
• Spurs collaboration among employees. 
• Crowdsources solutions.
• Serves as a central location for knowledge and learning resources around the area of interest.
• Provides a centralized location for all domains.
• Provides an opportunity for employees to gain leadership experience by managing a CoP.

2. Double the Size of the Company in One Day 

In August 2016, Leidos and Lockheed Martin’s Information Systems & Global Solutions (IS&GS) merged, effectively doubling the size of the organization. We developed a strategy for how to leverage Prism in the overall change management process as we knew it would play a vital role in communications and change management for both Leidos and IS&GS employees. 

How did we achieve this? 

• Invited a few key players into Prism to work with us on the re-launch of Prism on Day One to reflect the new Leidos.
• Ensured all users were in our People Directory and had access to the platform on Day One.
• Built the site architecture to reflect the new organization.
• Went on a roadshow to introduce Prism to the incoming leadership team ahead of Day One.
• Launched a training series and roadshow for the largest locations for the incoming users.
• Ran one of our 30 Days of Purple Engagement Campaigns and used Prism for the entire effort. This was instrumental in not only having everyone embrace the new brand and company but also learning about and getting comfortable with Prism.

3.  Prism Champions Program 

When we initially launched, we had many early adopters who were enthusiastic about the platform. We often leveraged these early adopters to help advocate for us and teach others how to effectively leverage Prism. After about a year, we formalized this team as the Prism Champions. 

How did this impact the organization?

• A year after formalizing, we won an Achievement Award (Leidos annual awards program) for the program highlighting how it had helped Prism transform the way employees interact and share information. 
• The program contributed to changing the culture from a siloed, disconnected workforce to a company that was able to effectively collaborate and know what was going on around the enterprise. 
• The Prism Champions have been instrumental in many of the changes we have experienced over the years and are still an integral part of our success today.
