Most workplace frustration doesn’t come from having too few tools, it comes from having too many tools that don’t work together.
Employees jump from one platform to another to find information, submit requests, check updates, collaborate and complete everyday tasks. Each tool may serve a purpose, but the experience between them is often fragmented.
That’s where the intranet can make a real difference.
A well-connected intranet doesn’t try to replace every workplace application. It brings those applications into a more useful, intuitive experience, giving employees a clearer starting point and helping work move forward with fewer clicks, searches and interruptions.
Employees shouldn’t need to remember which system owns every process.
Where do they request time off? Submit an expense? Find a policy? Open a support ticket? Check the status of a project?
Your intranet can act as the front door to those experiences. Quick links, embedded forms, intuitive navigation and role-based resources can guide employees to the right action without requiring them to understand the systems behind it.
The goal isn’t to cram every tool onto the homepage, it’s to make the most common tasks easier to find and complete.
A connected intranet shouldn’t depend on employees remembering to visit it.
Important news, targeted updates and useful resources can be delivered through the communication and collaboration channels employees already use. At the same time, activity from other workplace systems - such as upcoming events, open tasks or service updates - can surface within the intranet.
This creates a two-way relationship. The intranet reaches into the flow of work, while the tools employees use every day feed relevant information back into the intranet experience.
An integration is only valuable if it removes friction.
Embedding an application or adding another link might provide access, but it doesn’t necessarily improve the workflow. Start by looking at the complete task an employee is trying to accomplish.
If someone is looking for parental leave information, for example, they may need more than a policy document. They might also need an eligibility guide, a benefits contact, the correct request form and a list of next steps.
Bringing those elements together creates a connected journey instead of another digital scavenger hunt.
Small automations can eliminate a surprising amount of repetitive work.
A submitted form might automatically notify the right team, or an approaching content review date could alert its owner. A new employee might receive resources based on their role, location or start date, or an unanswered request could trigger a reminder before it disappears into a queue.
The best automation is often almost invisible. It removes a manual step, reduces the chance of something being missed and helps the next action happen naturally.
Before adding another integration, look at where people are already struggling.
What do employees search for repeatedly? Which questions keep appearing in support channels? Where do requests stall? Which processes still depend on copying information from one system into another?
These friction points reveal where a connection or workflow improvement could have the greatest impact.
Start with one high-volume task. Map the needed steps, identify the unnecessary handoffs and decide what the intranet could simplify. Then, test the improved experience with the people who actually use it.
A long list of connected applications may sound impressive, but quantity isn’t the goal.
A more useful question is: What became easier?
Look for reduced time to complete common tasks, fewer repetitive questions, stronger use of self-service resources and fewer abandoned processes. Employee feedback can also reveal whether a workflow feels genuinely easier or merely looks more connected behind the scenes.
Employees don’t think about their work in terms of platforms and integrations, they think about what they need to know and what they need to do next.
The intranet’s role is to close that gap.
When the intranet connects information, tools and actions around real employee needs, it becomes more than another destination. It becomes the layer that helps the rest of the workplace work better.
Stop asking employees to fight their tools. Build an intranet experience that makes those tools work for them.
